Automate Vapi outbound AI calls and automatically log results to Google Sheets (via an n8n webhook)

This n8n workflow triggers an outbound AI voice call using Vapi, then captures the completed call’s outcome when Vapi posts it back to an n8n webhook. Finally, it writes a detailed call log (status, end reason, cost, last message, and more) into your Google Sheets “Call Log” tab.

What this workflow does

• Manual start to initiate a call run and provide input data.
• Sets the customer phone number from incoming data, with a fallback test phone number if needed.
• Places the outbound call via the Vapi API using your Vapi assistant ID and Vapi phone number ID (in the HTTP request Authorization header + JSON body).
• Receives the finished call result when Vapi posts the call outcome to this workflow’s production webhook URL.
• Appends call metadata to Google Sheets on each completed call, including:
  • timestamp
  • customer number
  • assistant name
  • industry
  • status
  • end reason
  • cost
  • last message
  • Vapi call ID
