This n8n workflow automatically turns approved Xero sales invoices into single-use Stripe Payment Links, sends them to customers via WhatsApp (WAHA), and then records the customer’s payment and Stripe fees back to the correct Xero invoice—with status tracked in an n8n Data Table.

What this workflow does

• Receives a POST webhook from Xero for invoice events and verifies the webhook request using the Xero webhook signature.
• Extracts unique invoice events, fetches each invoice from the Xero API, and keeps only authorised sales invoices (ACCREC) with amount due > 0.
• Processes invoices one by one and checks an n8n Data Table to skip invoices that already have a saved payment link.
• Fetches the invoice contact from Xero, formats a WhatsApp-ready phone number, and confirms the number exists on WhatsApp via WAHA.
• Creates a Stripe Price and a single-use Stripe Payment Link, stores link details in the Data Table, and sends the link to the customer on WhatsApp.
• Listens for Stripe payment_intent.succeeded events, ignores payments without Xero metadata, and prevents duplicate “paid” updates by re-checking the Data Table (with Slack alerts for duplicates).
• Retrieves Stripe charge and fee details, records the payment (and posts a fee journal when applicable) back to the correct Xero clearing and fee accounts, then updates the Data Table row to “paid”.
